The City of Cedar Rapids has an opening for our highest administrative level position, the Executive Administrative Assistant for the City Manager. This position provides a wide range of complex and confidential  administrative support to the City Manager, Mayor, and City Council Members. About the position: 

The nature, diversity and scope of responsibilities originating from this position requires the frequent use of discretion, initiative, and independent judgement. You will take pride in skillfully managing calendars; scheduling and arranging complex travel plans; organizing, scheduling and preparing for meetings; and providing impeccable service to both internal and external customers. Qualified candidates will be expected to have a creative, problem-solving approach and well- developed interpersonal communication skills. The ability to establish and maintain effective working relationships with staff, elected and appointed officials, government agencies, service and community organizations, private business and the general public is critical.

Provides confidential administrative support for the Office of the City Manager and City Council. 

Position will be advertised until filled.
Position Schedule: Monday-Friday 8:00am-5:00pm
Salary: $55,161.60 annually to commensurate (Based on education and years of experience)
Successful completion of a pre-employment background check, and drug screen are required prior to employment with the City of Cedar Rapids.

Examples of Duties / Knowledge & Skills

  • Serves as a liaison for the Office of the City Manager, City Council, City Departments, and citizens maintaining high levels of customer service; enters concerns into tracking database.
  • Manages projects, coordinate administrative services, and appropriately utilizes business operation funds.
  • Prioritizes and maintains the City Manager’s schedule and coordinates meetings for Council members and City Director Team.
  • Develops, implements, and manages projects and programs initiated by the City Manager’s Office and/or City Council.
  • Plans and executes citywide recognition events. 
  • Organizes leadership meetings involving City Directors and City Managers
  • Coordinates all set-up, tear down, printing of materials, and other necessary administrative support for events and meetings.
  • Coordinates travel arrangements for City Manager’s Office team members and City Council members.
  • Prepares, reviews, and submits formal documents for City Council Meeting agendas.
  • Drafts professional communications and correspondence for the City Manager.
  • Prepares accurate financial reports and submits appropriate documentation for all business operation purchases and expenses.
  • Creates and sends weekly employee newsletter communication.
  • Performs related work as required.

Minimum qualifications & Requirements

Required Education and Experience

  • At least two years of relevant college-level course work or an Associate’s degree from an accredited college or university in Administrative/Business or a related field and
  • Three (3) to five (5) years of experience in providing administrative support to executives and leadership teams or related work or
  • An equivalent combination of education and/or experience
  • Excellent written, verbal, and interpersonal communication skills
  • Proficiency with Microsoft Office
  • Ability to work collaboratively with diverse populations
